1. Introduction
Interext Technologies Pvt. Ltd. ("Company", "We", "Us", or "Our") respects your privacy and is committed to protecting the personal information of the users ("User" or "You") of the Ander Baher™ mobile and web application ("App"). The App may be provided for use by your employer or another organisation authorised to use the App.
This Privacy Policy explains what personal data we collect, why we collect it, how it is stored, and your rights regarding your data. By downloading and using the App, you consent to the data practices described in this policy.
2. Information We Collect
To provide accurate attendance and leave management services, we collect the following types of information:
A. Personal Information
When you are registered on the App by your employer or administrator, we collect:
- Name
- Phone Number
- Email Address
- Date of Birth (DOB)
- Gender
B. Biometric Data (Face Images)
We capture your facial image via the device camera or webcam during the registration process and when you mark your attendance (such as Punch In or Punch Out) for identity verification purposes.
- Purpose: This data is used strictly for identity verification to prevent proxy attendance. On supported devices, face comparison may be performed locally on the device and, if the local result is inconclusive, through our fallback verification workflow.
- Storage: Registered face profile images and attendance evidence may be securely transmitted and stored using Google Drive and related Google-hosted services used by the App. Live verification images are primarily processed for identity verification; if fallback verification is triggered, a captured image may also be transmitted securely through our backend workflow to Face++ for comparison.
- Retention: Registered face profile data is generally retained while your account remains active, unless a longer retention period is required for official attendance records, fraud prevention, dispute resolution, or legal compliance.
C. Location Data
We collect precise GPS location data (Latitude and Longitude) from your device.
- When: We collect location data when you use attendance features such as Punch In, Punch Out, and regularisation. On supported devices and where enabled, we may also collect precise location in the background during an active attendance session after Punch In.
- Purpose: We use this data to verify attendance at authorised locations, validate work-radius compliance during an active attendance session, and maintain attendance audit records.
- Limits: Background location collection is intended to operate only during an active attendance session and is not used for advertising or unrelated profiling.
D. Attendance, Regularisation, and Related Records
Depending on how you use the App, we may collect attendance timestamps, punch type, work location references, reverse-geocoded addresses, attendance status, regularisation reasons, user remarks, manager remarks, and any supporting evidence or attachments that you choose to upload, such as images, PDFs, or audio files, where such features are enabled.
3. How We Use Your Information
We use the collected data for the following specific purposes:
- Attendance Marking and Access Verification: To record your "In" and "Out" times accurately and to send, receive, and verify one-time passwords (OTPs) or similar access-verification details when you sign in or complete registration workflows.
- Geofence Validation: To ensure attendance is marked only from permitted locations.
- Identity Verification: To match your live photo with your registered profile photo using facial recognition technology, including local on-device comparison and, where required, fallback verification using our backend workflow and Face++.
- Regularisation: To alert you of missing punches and process regularisation requests, including the review of reasons, remarks, approvals, and any supporting evidence you choose to provide.
- Record Keeping: To generate attendance reports and exports for payroll and HR management.
4. Data Storage and Security
- Storage Locations: Depending on the feature used, your data may be processed and stored using Google-hosted services used by the App, including Google Apps Script, Google Sheets, and Google Drive. Where fallback facial verification is triggered, relevant verification images may also be processed through Face++.
- Security Measures: We implement appropriate technical and organizational measures, including access controls and secure transmission practices, to protect your data from unauthorized access, loss, or misuse. Certain limited data, such as sign-in state, organisation context, and attendance-session settings, may also be stored locally on your device to keep the App functioning properly.
- Disclaimer: While we strive to use commercially acceptable means to protect your data, no method of transmission over the internet or electronic storage is 100% secure.
5. Data Sharing and Disclosure
We do not sell, trade, or rent your personal identification information to users or third parties for marketing purposes. We may share information with your organisation and its authorised administrators or managers where necessary to operate attendance, verification, reporting, and regularisation workflows. We may otherwise share information only in the following circumstances:
- Service Providers: With trusted third-party service providers who assist us in operating the App, conducting our business, or serving our users, so long as those parties are engaged for legitimate business purposes and are expected to protect the information appropriately. This may include Google-hosted services used for storage and workflow operations, communication services used to send OTPs by email or SMS, and Face++ where fallback facial verification is required.
- Legal Requirements: If required to do so by law or in the good-faith belief that such action is necessary to comply with state and central laws of India or respond to a court order.
6. Account Deletion and Data Retention
You have the right to request the deletion of your account.
- How to Request: You can request account deletion by contacting care@anderbaher.com or through any account deletion request form that we or your organisation may make available.
- What is Deleted: Upon a verified request, we will delete or de-identify your Profile Information (such as Name, Phone Number, Email, Gender, and DOB) and your registered Biometric Data (such as stored face profile images) from our active systems, subject to reasonable backup cycles and any legal obligations.
- What is Retained (Archived): You explicitly acknowledge and agree that official attendance and business records may be archived and retained, including Attendance Logs, punch-related Location records, attendance regularisation requests, user or manager remarks, supporting evidence or attachments linked to official records, and other records reasonably required to administer attendance operations.
- Reason for Retention: These records may constitute official business and employment records required for payroll processing, fraud prevention, dispute resolution, labour-law compliance, audit purposes, and related operational needs of your employer or organisation using the App.
7. Changes to This Privacy Policy
We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page. You are advised to review this Privacy Policy periodically for any changes.
